Why implementing a staff attendance system using TimeSheet Express V3 takes less than a day

ASP's TimeSheet Express V3 system has been designed for rapid implementation. While its companion ZipNet Terminal can be wired in (RS485 Industrial network over up to 1.2km of low cost cable), it can also be used in Direct Download mode that doesn't require wiring. TimeSheet Express V3 itself is easy to use and avoids the need to pre-define Shifts, allowing fast visual review of staff times.

Step 1 - Bolt a ZipNet Terminal to the wall

Allow about an hour.
Staff clock in and clock out at the ZipNet Terminal, using either a high security IDTag (standard), or a barcoded card (barcode reading optional). The Terminal is the size of a power point and takes only 2 screws to mount. Locate it near a power point for power. Set the time and date by touching a TimeTag to the front of the Terminal. There is no cable to run because we are going to use the Direct Download method of transferring time data (see below).

Step 2 - Some simple staff training

Allow about an hour.
Issue staff with IDTags or barcoded cards. If they are using an IDTag, show them how to touch it to the front of the Terminal. If they are using a card, show them how easy it is to slide the card along the reading slot. Note there are no buttons for staff to push, so everything is very straightforward. Tell them if they are required to clock out for lunch and back in after lunch. Point out that the new system is designed to better account for time, and to ease the workload of their fellow staff member looking after their pay. They can now clock in and clock out.

Step 3 - Install TimeSheet Express

Allow about 15 mins.
On a Windows PC, install TimeSheet Express V3. Built-in TimeTag support allows you to set the TimeTags (see Step 1) to the time and date on the PC for transfer to the ZipNet Terminal. It also reads the DataTags which will transfer staff times from the Terminal to the PC. TimeSheet Express V3 will display and store all the staff clock in and clock out times. It will automatically round times as you instruct (eg. 8:57am becomes 9:00am), track when overtime starts, adjust for unpaid lunch times, indicate when staff have worked longer than expected, and produce a range of reports. And it does all this without you needing to define shifts for anyone, saving a lot of setup time! Times and totals are presented visually so that you can quickly check and amend, and staff can even work over midnight.

Step 4 - Enter staff details

Allow about an hour.
You can import staff details into TimeSheet Express V3 if you have them in a text file, then enter the number of the barcoded card or IDTag allocated to each. Otherwise just type them in, or get ASP to do it for you (for an extra charge). Now TimeSheet Express V3 will know who the clock in and clock out times belong to.

Step 5 - Familiarise yourself with TimeSheet Express V3

Allow an hour or two to get started.
TimeSheet Express V3 comes with an excellent manual, and a database for a sample company. An excellent fast track solution (at extra charge) is to book some Telephone Training with an ASP specialist.

On our calculations, you have spent under 4 hours on implementing the new system. Now a few words on day to day operation.

Collecting clocking data from the Terminal

When you want to process staff times, collect them from the ZipNet Terminal by just touching a DataTag onto the front of the Terminal. The transfer to the DataTag only takes a couple of seconds. Back at the PC running TimeSheet Express V3, insert the DataTag into the DataTag HomeBase included with the Direct Download Kit, and the time information is transferred to the PC. Remember that at any time you can convert to automatic cable collection of the time data by wiring the terminal back to your PC, just contact ASP for the parts you'll need.

Review data & export to Payroll

With staff clock in and clock out times in the PC, use the facilities of TimeSheet Express V3 to visually check and approve or edit staff times. When you get started you may need to "counsel" some staff to get them to clock in and out. On the other hand, many workplaces immediately accept the new system because it is so simple. TimeSheet Express V3 will automatically total times, and a variety of reports can be generated. There is also a standard Export format for a Payroll Program, or you can purchase specific Export Modules for popular Payroll Programs such as MYOB PowerPay, Attache, Winpay, Quick Payroll Pro, Lewis-Pay and Micropay.
